Information and purpose
We intend to process your name, email, CV, cover letter, preferred role and relevant information about experience, availability and engagement terms to assess suitability and communicate about an opportunity. Interview notes and references may be added during selection. References will be requested with your permission.
We will not ask for identity documents or unnecessary health, criminal-record or equality information in the initial form. Ask privately if you need an adjustment; any sensitive information requires an appropriate additional legal basis and restricted access.
Lawful basis
The proposed basis for considering founding-role applications is our legitimate interest in identifying suitable people, subject to a documented balancing assessment. Steps towards a contract at an applicant's request and applicable legal obligations may have their own bases. These must be recorded before the live process starts.
Access, providers and transfers
Access is intended to be limited to Mark Marney and reviewers who need the information for recruitment. Before activation, the application and storage providers, processing agreements, relevant recipients, storage locations and any international-transfer safeguards must be confirmed and described here.
Retention
The proposed default is to delete unsuccessful application records six months after the recruitment decision. Any longer retention for a legal claim must have a recorded reason and review date. Successful applicants' necessary information will move into the applicable engagement records. Future-opportunity retention would be a separate choice, not a condition of applying.
Your rights
Depending on the applicable basis and circumstances, you can request access, correction, erasure or restriction and may have a right to portability. You can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
Right to object: you can object to processing based on legitimate interests by emailing info@optech-robotics.com.
Selection and security
The planned process uses human review and does not make selection decisions solely by automated processing. Live uploads require private storage, access controls, file validation, malware handling, a deletion process and incident-response arrangements. These operational controls must be implemented and checked before submissions are enabled.
